By accessing or using RegIntelia ("the Service"), operated by H-Kay Limited ("we", "us", or "our"), you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use the Service.
RegIntelia provides a software platform designed to help UK care providers prepare for regulatory inspections through mock inspections, evidence management, and compliance tracking. The Service is advisory in nature and does not guarantee any specific inspection outcomes.
You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You must notify us immediately of any unauthorized use of your account.
You agree not to:
All prices exclude VAT. VAT is added at the current rate and shown on your invoice. We may change our prices with 30 days notice; a change does not affect a period you have already paid for.
Monthly plans. A monthly plan renews each month. You can cancel any time, and you keep access until the end of the month you have paid for. We do not refund part of a month already paid for, except where the law requires it.
Annual plans. An annual plan is a 12-month commitment, paid for the year. You can stop it renewing at any time, but we do not refund the remainder of a year already paid for, except where the law requires it.
The Evidence Readiness Review is a one-off, human-reviewed service for one registered location, at £395 excluding VAT. It covers:
It is an internal evidence review to support improvement. It does not establish the quality of your whole service and it does not determine a CQC rating. A named person reviews your documents.
We confirm the delivery date and the processing arrangements with you before you order. We agree processing terms with you before you upload records. The delivery date runs from when we have complete, readable evidence.
If a document cannot be read, for example a poor scan, we do not guess at its contents. We return it to you and mark it as not reviewed in the report. We will agree with you whether to review a readable copy within the agreed limits or to report only on what could be reviewed.
If you take a subscription within 30 days of buying the review, the full price of the review is credited against your subscription invoices. The credit is applied across invoices until it is used up, so it can span more than one monthly invoice. On an annual plan it is taken off the annual invoice.
The credit cannot be exchanged for cash. If you cancel the subscription before the credit is used up, the unused credit lapses.
When a plan ends you can still read and download your records and reports. Ask us at the address below if you want your data deleted, and we will tell you what we delete and when. Some records, such as invoices and our audit log of changes, we have to keep for longer.
Your use of the Service is also governed by our Privacy Policy. You retain ownership of all data you upload to the Service. We process your data only to provide the Service.
THE SERVICE IS PROVIDED "AS IS" WITHOUT WARRANTIES OF ANY KIND. H-Kay Limited does not guarantee that mock inspection results will predict actual regulatory inspection outcomes. The Service is an advisory tool and should not replace professional compliance advice.
To the maximum extent permitted by law, H-Kay Limited shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service.
We may terminate or suspend your account at any time for violation of these terms. You may cancel your account at any time through the account settings.
We may update these terms from time to time. We will notify you of material changes via email or through the Service.
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
